# How roles work

> Understand the different roles in Adclear and what each one can do.

Roles determine what each member of your team can see and do. Every person who joins your organisation is assigned a role, and that role decides which areas of the platform they can access (creating promotions, reviewing claims, managing the team).

## Roles in detail

    **Who it's for**: senior compliance leaders responsible for setting up and overseeing the compliance programme.

    **Can do**:

    * Configure compliance settings, policies, and review workflows
    * Create, archive, and review promotions

    * Archive claims
    * Manage team members and role assignments
    * Connect Slack for notifications
    * View metrics and reporting dashboards
    * Create, edit, and manage disclaimers

    **Can't do**:

    * Edit automated compliance rules

    * View metrics, rules, and disclaimers
    * Create compliance policies

    **Who it's for**: uploaders who build promotions and submit them for compliance review.

    **Can do**:

    * Create, archive, and export promotions
    * Submit promotions and claims for review
    * Delete promotions when needed

    **Can't do**:

    * Approve or reject promotions (reviewer responsibility)
    * Access compliance settings or policies
    * Manage team members

    **Who it's for**: legal team members resolving escalations from reviewers and disputes raised on promotions.

    **Can do**:

    * Resolve escalations and disputes raised by the reviewer team
    * Create claims and submit promotions

    * Manage organisation members

    <Warning>
      Legal is the only role that can resolve escalations. Make sure at least one Legal user is assigned if your workflow includes escalation steps.

    **Who it's for**: outside collaborators, agencies, or influencer partners who need limited access to create content for review.

    **Can do**:

    * Create promotions
    * Submit promotions for review

    **Can't do**:

    * Review, approve, or reject anything
    * Access internal settings, policies, or team management
    * View metrics or disclaimers

      Use this role for anyone outside your organisation. External partners are typically onboarded through the [External submission form](/external-submission-form).

## What each role can do

<Warning>
  The Compliance role lets a user review promotions, but it isn't enough on its own. Reviewing is also scoped by the markets (jurisdictions) each user has been granted permission for. Make sure your site admin adds reviewers to the appropriate jurisdictions in the team management area.

    \*Reviewing also requires the user to be added to the relevant markets (jurisdictions) by a site admin. The Compliance role alone won't surface promotions for review.

## Choosing the right role

<Steps>
  <Step title="Are they external to your organisation?">
    If they're an agency partner, freelancer, or influencer, assign External Influencer. They can create and submit promotions without seeing internal data. Typically onboarded through the [External submission form](/external-submission-form).

  <Step title="Do they review submissions for compliance?">
    If they approve or reject promotions and claims day-to-day, assign Compliance. If they also configure your compliance rules and policies, assign Compliance Admin. Remember to add reviewers to the relevant markets so they can see promotions to action.
  </Step>

  <Step title="Do they handle escalated or legal issues?">
    Assign Legal. This is the only role that can resolve escalations.
  </Step>

  <Step title="Are they on the marketing team?">
    Assign Marketing for individual contributors who upload promotions. Use Marketing Admin for team leads who also manage members and need broader controls.

  Roles can be changed at any time. If someone's responsibilities shift, an admin with the right permissions can update their role from the team management area.

## Frequently asked questions

  <Accordion title="Can one person have more than one role?" icon="user">
    Each member is assigned a single role at a time. If someone needs broader access, change their role rather than creating a second account.

  <Accordion title="Who can change someone's role?" icon="user-pen">
    Compliance Admins, Marketing Admins, and Compliance users can manage members and update role assignments. Legal can read and manage members but can't alter the team list at the same level as admins.
  </Accordion>

  <Accordion title="What if no role fits exactly what someone needs?" icon="circle-question">
    Pick the closest match, usually one that errs on the side of less access. You can always upgrade them later if their work requires more permissions.

  <Accordion title="Why can't a Compliance user see any promotions to review?" icon="eye-slash">
    The Compliance role gives access to the review workspace, but the actual list of promotions they see is filtered by the markets (jurisdictions) they have permission for. Ask your site admin to add them to the relevant markets in team management.

  <Accordion title="Can External Influencers see other people's promotions?" icon="user-group">
    No. They can create and submit their own work but don't have access to internal settings, metrics, or other team members' data.
